Policies and Procedures for Exhibitors Please familiarize yourself and your team with the updated Policies and Procedures for Exhibiting Companies. Clarification has been made in many areas, including booth structure guidelines, in order to avoid situations that may arise onsite regarding line of sight and other obstructive booth designs. Companies with booths 20x20 and larger will need to submit their booth design for DIA approval through the Custom Forms section of the J. Spargo and Associates webpages. Call for Professional Posters | Opens January 26 We invite all members and stakeholders to submit a professional poster for display at the DIA 2015 51st Annual Meeting. The Professional Poster Program is an opportunity for you to present research to a diverse group of scientific professionals who are actively involved in the discovery, development, and life cycle management of pharmaceuticals, biotechnology, and related medical products. If you have not already made your company’s hotel reservations, we recommend you doing this at your earliest convenience. Book by February 27 to qualify for early-bird rates at select properties. Housing availability is first come, first serve.
Travel Planners (now onPeak, part of the GES Global Network) is the official Housing Bureau for the DIA 2015 51st Annual Meeting. Why Choose an Official DIA Hotel? We encourage you to understand the importance of selecting an official DIA hotel. To obtain the necessary amount of meeting and exhibit space at the Convention Center and the hotels, DIA must contract a minimum number of guest rooms. If the contractual obligation is not met, DIA will incur significant financial penalties and have difficulty obtaining sufficient meeting space in the future. Conference costs—even attendee and exhibitor fees—could increase. When we are able to maintain a consistent history of hotel rooms sold, we are better positioned to negotiate the lowest hotel rates possible for future DIA meetings. Registration for Exhibit Personnel Open You can now begin to register your exhibit personnel for the DIA 2015 51st Annual Meeting.
We strongly encourage registration through the Online Registration System as the system will let you know exactly how many full-meeting and booth personnel badges your company receives – and allows you to go in and make replacements and other changes on your own. Only the Primary Contact’s user ID and password will access the online system. Please contact Jeff or Jessica with any issues or questions. Hurry, opportunities are selling quickly! A reminder DIA has a Marketing Free Zone in place an area surrounding the Walter E. Washington Convention Center and nearby hotels. Please make sure your marketing and advertising teams are aware. With any exhibition there are always multiple companies and individuals to deal with – from logistics to housing to marketing and furniture orders – and it’s often difficult to remember who to contact. To help you with this, we’ve created and Authorized Vendor List for your reference. This list provides the companies DIA has contracted with for the DIA 2015 51st Annual Meeting. Please note as additional parties are brought on to handle various aspects of the meeting, the list will be updated. If at any time you have doubts as to whether a company has been approved to represent or work for the DIA 2015 51st Annual Meeting, please email Exhibits@DIAHome.org. DIA will not have the ability to assist you with any issues that may arise from using a non-official vendor.
