Attendee List Deadline
If you haven’t already done so, don’t forget to register your booth staff by 5:00PM ET on Friday, May 17 for them to be included in the printed Advance Attendee List provided to all participants onsite in Boston. Personnel may be registered online through Manage My Exhibits (primary contact login required) or via email/fax by completing the Exhibit Personnel Registration Form for each staff member.

Liability Insurance Requirements
All exhibiting companies are required to provide proof of insurance to DIA. Please review the details on our Proof of Insurance Information PDF online. Certificates of insurance may be faxed to +1.215.442.6199 or emailed to exhibits@diahome.org.

Digital Branding at the BCEC
It’s not too late to sign up for a spot on the 80-foot outdoor media tower, the 2,000 square foot video wall located in the Registration area, or on the Plasma Network made up of 31 distribution points throughout the BCEC. Only at the BCEC can you drive meaningful brand engagement across these video screens and help you make an emotional connection with your audience in any given moment!

Booth Reminders
As a reminder, all booths are required to carpet or put down flooring in their booth. If you are not providing your own flooring, carpeting may be ordered through Freeman by using the order forms included in the Exhibitor Service Manual. Unless Freeman has been notified that previous arrangements have been made, carpeting will be installed in any booth not carpeted by noon on Sunday, and an invoice will be issued.

Additionally, DIA provides a standard package with each 10x10 that includes a 6’ skirted table, 2 chairs, etc. If you do not wish to receive the booth package, please complete and return the Show Package form to Freeman checking the box at the bottom if you are NOT interested in the free booth package.

External Events & Meetings
Are you planning a client event during the Annual Meeting? Do you need a hotel suite to hold a meeting? If you’re looking for space close to the BCEC, the Westin Boston Waterfront (connected to the center) is filling up quickly, so don’t delay! Make sure to complete the Event and Meeting Space Application Form to receive DIA approval.

Additional Services
In addition to the standard booth services and utilities offered by Freeman and the MCCA, we’d also like to highlight some of the other official groups offering services to Exhibitors this year.
     • Audio/Visual rentals are being handled by PROJECTION
     • Catering services are provided by Levy Restaurants including drink ticket sales
       for the Welcome Reception
     • Lead retrieval scanner rentals and the Digital Literature Kiosk are coordinated
       through ExpoBadge
     • KembyTV is once again offering video services for our exhibitors – from customer

WARNING! Solicitation by Unauthorized Companies
There has been a rash of unauthorized companies soliciting our exhibitors related to various services, from housing to attendee lists. This is just a reminder that DIA has an Authorized Vendor List that lists all official DIA 2013 vendors. We recommend that our exhibitors avoid working with any vendor that is not on this list but is claiming that they are working with or for DIA. You are welcome to contact DIA at any time to confirm the status of a vendor. Unfortunately, DIA has no control over the false claims that these unauthorized vendors make and is not able to assist in resolving issues that arise when our exhibitors enter into agreements with unauthorized companies.

Please familiarize yourself with the Policies and Procedures for Exhibitors booklet which is current as of May 1. All Exhibitors are expected to adhere to the DIA policies laid out in this booklet.
